Manager of Technology Solutions

After School Matters is a nonprofit organization that offers Chicago public high school teens high quality, out-of-school-time opportunities to explore and develop their talents, while gaining critical skills for work, college, and beyond. Our hands-on, project-based arts, science, sports, technology, and communications programs are delivered at Chicago public high schools, at community locations throughout the city, and downtown at Gallery 37 Center for the Arts.   

 

Summary of Position:

After School Matters contracts with Cityspan for development and maintenance of program databases and their associated interfaces: Program and Participant Tracking System (PTS), the Request for Proposals (RFP) System, and the teen application. The Manager of Technology Solutions manages the relationship with Cityspan and ensures smooth operation of the Participant Tracking System, Request for Proposal, and other complementary services. The Manager of Technology Solutions also collaborates with cross-departmental staff to facilitate continuous system improvement and to streamline organizational processes through innovative technological solutions.

 

Major Duties and Responsibilities:

  • Manage the design and implementation of new system enhancements and required updates to the teen application, Participant Tracking System, and Request for Proposal system
  • Collaborate with staff to identify trends and gaps with existing systems/processes and implement innovative technological solutions
  • Identify opportunities and propose projects to enhance user experiences and organizational processes
  • Lead weekly client-vendor meetings with the primary database provider, Cityspan to review upcoming tasks and deadlines
  • Produce annual scope of work for Cityspan and develop timeline for custom developments and system updates
  • Perform testing of new system functionality and quality assurance for all system fixes and enhancements
  • Monitor storage and submission of program and participant data to ensure completion and accuracy
  • Oversee customer service operations for the teen application to ensure parent and teen inquiries are answered promptly and accurately
  • Develop and maintain training documents, conduct training sessions and assist end users in navigating/troubleshooting the systems
  • In collaboration with the primary database provider, develop policies and procedures to ensure appropriate level access for all end users
  • Ensure After School Matters’ staff, Instructors, liaisons, community providers have proper access to the PTS and RFP system and monitor accordingly
  • In collaboration with the contracting department, ensure that access to Cityspan is discontinued or adjusted based upon change of relationship
  • In collaboration with the Chief Program Quality Officer and key staff, develop the cyber security strategy and processes required by the primary database provider, Cityspan
  • Monitor reporting requirements for Cityspan cybersecurity requirements
  • Work closely with Cityspan to research and resolve any issues experienced by users of the systems
  • Compile and distribute reports for program management, the Chief Program Quality and Compliance Officer, and others as required
  • Conduct monthly Cityspan Committee meetings and report goals, accomplishments, etc.
  • Liaise with After School Matters partners, such as the Chicago Park District, Department of Family and Support Services, and Chicago Public Library
  • Assist in other tasks related to the efficiency of the Program Quality and Compliance Department
  • Other duties as assigned

  • Strong understanding of database structures and processes
  • Ability to understand, analyze and develop processes and procedures based upon trends and organizational business needs
  • Strong vendor management, relationship and negotiation skills
  • Successful project management experience
  • Experience with database report writing tools
  • Excellent organizational and problem-solving skills; detail-oriented
  • Excellent Excel Skills; strong Microsoft Office skills
  • Strong orientation to customer service
  • Excellent oral and written communication skills
  • Ability to multi-task and meet deadlines in a fast-paced, high-energy environment

Qualifications:

  • Bachelor’s degree with at least 3 years related experience with database and product management or equivalent combination of education and experience
  • Cook County residency required
