Payroll Intern

After School Matters is a nonprofit organization that offers Chicago public high school teens high quality, out-of-school-time opportunities to explore and develop their talents, while gaining critical skills for work, college, and beyond. Our hands-on, project-based arts, science, sports, technology, and communications programs are delivered at Chicago public high schools, at community locations throughout the city, and downtown at Gallery 37 Center for the Arts.   


Summary of Position:

Teens participating in After School Matters programs earn a stipend for their participation. The Payroll Intern is responsible for assisting with all functions related to the administration of stipends for program participants. The Payroll Intern is also responsible for assisting with administrative duties associated with other work conducted by the Payroll Division, as well as the Finance Department. Such tasks include—but are not limited to—contacting program providers, making copies, preparing mailings, and filing paperwork. 

This is a part-time internship. The preferred start date is mid-May.


Major Duties and Responsibilities:

  • Assists with all aspects of the program stipend payroll process, from ensuring proper paperwork is in to successfully paying a teen participant.
  • Assist with teen audit process
  • Contact program liaisons when teens are missing requirements needed to be eligible for a stipend
  • Respond to stipend-related calls and e-mail
  • Staff the stipend-related support hotline
  • Contact programs to ensure accurate check delivery information is on file
  • Sort checks and assist with their distribution
  • Process lost/stolen check forms as needed
  • Navigate ADP and Precision Payroll Systems
  • Assist in the distribution of 1099s and W-2s, including following up on those returned in the mail
  • Assist in gathering data requested by external auditors as needed
  • Provide technical assistance to Liaisons
  • Perform related duties as required to support and promote the efficient operation of the Payroll Division, the Finance Department, and After School Matters as a whole
  • Other duties as assigned

  • Ability to manage detail-oriented work
  • Strong orientation to customer service in a fast-paced, high-energy environment
  • Administrative tasks, including copying, mailing, filing and attention to detail
  • Desire to help internal and external customers
  • Ability to work independently and in a team
  • Good verbal and written communication skills
  • Proficient in Microsoft Office applications
  • Spanish speaking a plus.
