Office Assistant

After School Matters is a nonprofit organization that offers Chicago public high school teens high quality, out-of-school-time opportunities to explore and develop their talents, while gaining critical skills for work, college, and beyond. Our hands-on, project-based arts, science, sports, technology, and communications programs are delivered at Chicago public high schools, at community locations throughout the city, downtown at Gallery 37 Center for the Arts and at The Michael and Karyn Lutz Family Center for After School Matters.   


Summary of Position:

The Office Assistant will be responsible for assisting in the organization and daily administrative operations of the Lutz Family Center.

The ideal candidate is hard-working, able to undertake a variety of office support tasks and work diligently under pressure. This person will be comfortable working with a high degree of attention to detail and discretion as well as incorporating new and effective ways to improve processes.


Major Duties and Responsibilities:

  • Organize office and assist staff in ways that optimize procedures
  • Manage room requests and room set-up
  • Sort and distribute mail in a timely manner
  • Monitor level of supplies and handle shortages
  • Resolve office-related malfunctions and respond to requests or issues
  • Coordinate with other departments to ensure compliance with established policies
  • Maintain trusting relationships with suppliers, customers and colleagues
  • Perform receptionist duties when needed; greet visitors, answer incoming calls.
  • May also assist other administrative staff with overflow work, including word processing, data entry and internet research tasks.
  • Supervise teen interns

Knowledge, Skills and Abilities:

  • Attention to detail
  • Experience with administrative tasks, including copying, mailing, and filing
  • Customer service orientation
  • Ability to work independently and in a team
  • Proficiency in Microsoft Office, specifically Word, Excel, PowerPoint, Outlook, etc.
  • A minimum typing speed of 55+ wpm is required
  • Working knowledge of office equipment
  • Excellent organizational and time management skills
  • Analytical abilities and aptitude in problem-solving
  • Excellent written and verbal communication skills



  • Associate’s degree is preferred
  • Bilingual (English/Spanish) is preferred
  • 3+ years of secretarial or administrative assistant experience is required
  • Cook County Residency required
