Executive Office Intern (Paid)

After School Matters is a nonprofit organization that offers Chicago public high school teens high quality, out-of-school-time opportunities to explore and develop their talents, while gaining critical skills for work, college, and beyond. Our hands-on, project-based arts, communications and leadership, sports, and STEM (science, technology, engineering and math) programs are delivered at Chicago public high schools, community locations throughout the city, in Belmont Cragin at The Michael and Karyn Lutz Center for After School Matters, and downtown at Gallery 37 Center for the Arts.   

 

Summary of Position:

The Executive Office Intern will report to the Administrative Assistant and provide support to the Executive Assistant to the Chief Executive Officer. They will assist in the smooth operation of Executive Office activities and assist with a variety of support tasks that may be confidential. The Executive Office intern will also support with other needed tasks to ensure operational efficiency.

 

Major Duties and Responsibilities:

  • Staff the reception desk at our offices in the Cultural Center;
  • Greet visitors and direct them to appropriate staff;
  • Assist in responding to incoming calls and emails on the organization lines;
  • Organize and stock office supplies (e.g. drinking water, toner, copy paper, etc.);
  • Administrative tasks including copying, mailing, and filing;
  • Deliver packages or materials to internal and external stakeholders; 
  • Prepare check requisition forms; and
  • Other duties as assigned

Knowledge, Skills and Abilities:

  • Strong attention to detail
  • Customer service skills, and desire to help internal and external customers in person and over the phone
  • Ability to work both independently and in a team environment
  • Basic computer skills, Microsoft Office specifically
  • Effective communicator, both written and oral

 

Qualifications:

  • Currently attending a post-secondary institution, in an undergraduate or graduate program
  • Bilingual (English/Spanish) is preferred
