Human Resources Intern (Paid)

After School Matters is a nonprofit organization that offers Chicago public high school teens high quality, out-of-school-time opportunities to explore and develop their talents, while gaining critical skills for work, college, and beyond. Our hands-on, project-based arts, science, sports, technology, and communications programs are delivered at Chicago public high schools, at community locations throughout the city, and downtown at Gallery 37 Center for the Arts.   

 

Summary of Position:

The Human Resources Intern will be exposed to a wide range of human resources operations at a large non-profit organization. Through job shadowing, the Human Resources Intern will be able to gain insight and provide feedback on an array of key processes. In addition, the Human Resources Intern will support the After School Matters Human Resources department with of a variety of essential administrative tasks. This intern will support the Human Resources Specialist with daily HR operations such as recruiting, onboarding, compliance, data tracking and reporting. The intern will also have the opportunity to assist with conducting research on pertinent topics to help the department continue to promote a positive, engaging, and inclusive work environment.

 

This is a part-time (10-15 hours/week) internship.

 

Major Duties and Responsibilities:

  • Enter new employee data into the HRIS; draft offer letters and welcome emails for new employees
  • Schedule new employee onboarding meetings with the HR Specialist and Systems Administrator
  • Assist with putting together onboarding materials for new employees, tracking the completion of required new employee tasks such as background checks, and following up accordingly to ensure compliant onboarding
  • Schedule phone screens and interviews for the HR Specialist
  • Respond to employment verification requests for former and current staff
  • Post and refresh job postings on various talent acquisition platforms
  • Assist with document retention compliance including I-9 forms, personnel files and applicant data
  • Create and run various employee data reports for month-end HR reporting
  • Create and submit check requisition forms for monthly invoices
  • Conduct research on HR-related policies and activities that the organization is considering and make recommendations
  • General administrative tasks including: filing documents, sending out reminders, booking conference rooms, submitting room set-up forms, preparing conference rooms for meetings and events, preparing and sending notices to staff, etc.
  • Other duties as assigned.

Knowledge, Skills and Abilities:

  • Proficiency in Microsoft Office (Excel, Word, Outlook) is required
  • Excellent oral and written communication skills

  • Ability to work with diverse groups of individuals
  • Personable team player
  • Ability to work independently and in a collaborative setting
  • Experience using ADP Workforce Now on a manager- or practitioner-level is a plus

 

Qualifications:

  • Currently attending a post-secondary institution, in an undergraduate or graduate program.
