After School Matters is a Chicago-based nonprofit organization that annually offers after-school and summer programs to nearly 19,000 Chicago high school teens to explore and develop their talents while gaining critical skills that will set them up for success in college and beyond.

Thirty years later, now known as After School Matters, our program has engaged more than 350,000 Chicago teens and is the nation’s largest and most successful provider of after-school and summer programs for high school teens. No other organization offers programs to high school students at the scale and quality that we do.

We offer paid apprenticeships led by professionals in the fields of arts, communications and leadership, sports, and STEM (Science, Technology, Engineering, and Math). Our nationally respected youth development model has been replicated in cities across the country and earned us the City Livability Award from the U.S. Conference of Mayors.

Programs take place at community locations throughout the city, including three ASM buildings: downtown at Gallery 37 Center for the Arts, the Michael and Karyn Lutz Center in Belmont Cragin, and the Pullman community at Gately Park.

Currently, After School Matters’ annual operating budget is approximately $35M and employs approximately 500 staff across the organization.

Summary of Position:

The People and Culture (PC) Intern will support the After School Matters’s PC department with of a variety of essential administrative tasks. Through job shadowing, the PC Intern will be able to gain insight and provide feedback on process and provide recommendations for improvements. This intern will support the PC Director and PC Partner with daily operations such as onboarding, compliance, data tracking and reporting. The intern will also have the opportunity to assist with conducting research on pertinent topics to help the department continue to promote a positive, engaging, and inclusive work environment.

This is a paid, part-time (20-25 hours/week) seasonal position starting in April/May until August 2024.  

We are only seeking summer interns. During the summer, the interns will focus on pre and post program activities, such as document preparation, data-entry, I9 processing and verification, event set-up and breakdown, and other functions.


Major Duties and Responsibilities:
  • Assist with seasonal new employee onboarding meetings with the PC department
  • Assist with putting together onboarding materials for new employees, tracking the completion of required new employee tasks such as background checks, and following up accordingly to ensure compliant onboarding
  • Assist with document retention compliance including I-9 forms, personnel files and applicant data
  • Create and run various employee data reports for month-end PC reporting
  • General administrative tasks include: filing documents, sending out reminders, and responding to inquiries.
  • Other duties as assigned.

Knowledge, Skills and Abilities:
  • Proficiency in Microsoft Office (Excel, Word, Outlook) is required
  • Experience with analyzing data and creating reports using Microsoft Excel is required
  • Excellent oral and written communication skills
  • Commitment to providing respectful and empathetic customer service 
  • Keen eye for detail
  • Ability to work with diverse groups of individuals
  • Personable team player
  • Ability to work independently and in a collaborative setting
  • Experience using ADP Workforce Now, CitySpan, and E-verify is a plus
  • Problem solving skills
  • Comfortable problem solving in fast pace environment and high volume request


Qualifications:
  • Interest in exploring various domains of HR by mastering key administrative tasks
  • High school diploma or GED required


Additional Requirements:
Staff are required to provide proof of COVID-19 Vaccination or have an approved medical or sincerely held religious beliefs exemption prior to starting employment. If a medical or sincerely held religious belief exemption is approved, weekly Polymerase Chain Reaction (PCR) testing is required part of any reasonable accommodation.
