Summary of Position: This position is an excellent fit for individuals looking to develop skills in nonprofit program management. The Program Administration Intern position will provide support to all aspects of After School Matters Chicago Public Library internship programming. Candidates will gain a broad exposure to the inner workings of a high-functioning nonprofit organization. They will assist the Chicago Public Library Site Supervisors in overall administration and logistics of everyday programming. The employee will customarily exercise discretion and independent judgment in performance of work directly related to the general business operations of After School Matters.
This is a temporary part-time position.

About Us: After School Matters is a Chicago-based nonprofit organization that annually offers after-school and summer programs to nearly 19,000 Chicago high school teens to explore and develop their talents while gaining critical skills that will set them up for success in college and beyond.

ASM offers paid apprenticeships led by professionals in the fields of arts, communications and leadership, sports, and STEM (Science, Technology, Engineering, and Math). Programs take place at community locations throughout the city, including three ASM buildings: downtown at Gallery 37 Center for the Arts, the Michael and Karyn Lutz Center in Belmont Cragin, and the Pullman community at Gately Park. Currently, After School Matters’ annual operating budget is approximately $35M and employs approximately 500 staff across the organization.

This is a temporary part-time position.
Major Duties and Responsibilities:
- Manage intern applicant lists by providing updated lists to supervisors and monitoring screening forms
- Provide in office support such as form and spreadsheet creation to track supervisors and interns including details about interviews, hiring, assigned locations, completed forms, and attendance to various systemwide events.
- Coordinate communication and manage scheduling and for supervisors and interns at various branches including checking and entering timesheets on a weekly basis into City Span.
- Supervise intern travel logistics for summer field trips including transportation needs and field trip slips.
- Organize and assist in the planning of orientation, field trips, and intern closing party by attending logistical meetings, gathering documents, and curating material lists.
- Draft, review and send weekly communications with updates, celebrations, and deadlines to interns and supervisors.
- Answer and respond to phone calls and priority emails from parents and interns and communicate any branch-related concerns to College and Career Specialist. Manage communication with Chicago Public Library staff
Knowledge, Skills, and Abilities:
- Some experience in an administrative role.
- Excellent written and verbal communication skills.
- Strong time-management skills and an ability to organize and coordinate multiple concurrent
- projects.
- Proficiency with office productivity tools and an aptitude for learning new software and systems.
- Flexible team player, willing to adapt to changes and unafraid of challenges.
- Ability to maintain confidentiality of information related to the CPL and the interns.
- Experience in developing internal processes and filing systems.
- Currently attending a post-secondary institution, in an undergraduate or graduate program
- Some knowledge of Microsoft Office, including excel
Schedule:
- This paid internship will run from May 19th through August 1st.
- Monday – Friday, 10am - 3pm
- Intern will be based at Harold Washington Library Center.
